Licensed sponsors have record-keeping and reporting duties. Start with the current Home Office Appendix D and sponsor compliance guidance, then build an administrative index that helps your responsible team locate the required evidence.
Create an index against the guidance
List the applicable record categories and where each item is securely held. Record missing evidence and the person responsible for addressing it. Avoid collecting extra sensitive information simply to make a file look fuller.
Connect changes to a review
Agree how the responsible sponsor team hears about changes in work or circumstances. Use a log to record the change, when it was identified and who will assess the applicable reporting requirement using current guidance or regulated advice.
Check access and cover
Make sure authorised staff can retrieve records when needed. Review access when responsibilities change and maintain suitable cover. Keep an evidence trail of your internal reviews and any corrective work.
Know the boundary
An organised file is only part of compliance. QCC’s support focuses on employer administration and preparation. It does not determine visa eligibility, replace sponsor duties or provide immigration representation.
Your takeaway checklist
- The index reflects current Appendix D guidance.
- Missing evidence has an owner.
- Changes reach the responsible sponsor team promptly.
- Access and cover arrangements are clear.
